1: how do I make a copy of an asset?
Cloning of assets is a very handy tool that can be used to speed up the process of adding multiple similar assets to your asset register. Once you have created an asset you can clone all of its details. The only details that will not be cloned will be the bar code, serial number and the RFID, which can be added after the clone is created.
Cloning of assets is done by right clicking on the asset that you want to clone and then clicking “clone asset”
After you have clicked on “clone asset” the new cloned asset will appear at the bottom of the list of assets for that particular location. Bar code, serial number and RFID information can then be added to the asset and it can be moved to any location.
2: how do I import my assets from a CSV?
Select the location that you would like to import assets into. Click on “file” and then select “Import Assets” select the appropriate CSV file and click “open” and the field match window will appear.
This screen is where the data in the CSV file will be matched against target fields in the asset explorer database.
If your CSV file contains a row that has headings for the data place a tick in the box labeled “First row contains column headings” this will associate that row as a heading row.
Source Field and Destination fields can then be matched so that the data is correctly imported into the AE database.
Matching of fields is done by clicking in the destination field and selecting an option from the drop down box
Destination tables can be selected using the same process.
By placing a tick in the box labeled “add original record as custom property” will add all the original data from the CSV file into the custom properties tag that is visible from the asset view window.
Once the import is complete the assets will appear in the location you chose.
3: how can I view my assets in excel?
This can easily be achieved using the export function as it exports all the assets to a CSV file that can then be opened in Excel
While viewing a list of assts you would like to export click on “file” then “Export Assets”. You will be prompted to select a file or name a new file where you would like the assets to be exported to.
Assets will then be exported as a CSV file to the given location.
5: How can I change the location names to better suite my application?
Location names can be changed from Site, Building, and Room to more appropriate names that better suite your application. This is done by selecting “Settings” then “Location Names”
6: How does the search function work?
The last of the Tabs in the asset explorer window is the search function.
The text boxes can be used to search for assets by Barcode, ID Tag, Serial Number or PO Number.
The drop down boxes can be used to search for assets by Status, Supplier, Owner or Classification. You can use a combination of any of the text boxes or drop down boxes to perform a search. This will help to fine tune the results the search yields
Clicking the “Show All Decommissioned” button will display a result of all the assets that have been decommissioned
7: What is a decommissioned asset?
A decommissioned asset is an asset that has been deleted from the asset register. The database entry is never actually deleted, its status is merely changed to decommissioned.
8: How does the manufacturer tree work?
The manufacturer tree is automatically generated from the data entered when adding assets to the register. Manufacturer view allows you to move assets easily between manufacturer and model, simply be dragging and dropping.
9: What does “asset status” mean?
The Status field is a powerful organization tool that allows you to “flag” multiple assets for sorting. For example, when performing asset auditing, a Stocktake status can be set on an entire room of assets. As each item is scanned and Verified, only Stocktake items are left. This is a very quick method of sorting items that are not where they are supposed to be. At the completion of an asset audit, remaining items can then be flagged as Missing so that further action can be taken. The Status list contains a pre-defined list of “states”; however items can be added as required.
10: when I click a selected location I only see 100 of my assets and I know there should be more?
If you click on the display option at the bottom of the asset list window you will be given the option to “show none” “show 100” “show 500” “show 1000” “show all”. If you select show all you asset list will be regenerated to show all the assets for that location.
